You do not necessarily need to travel to Portugal for every stage of a property sale. Before a buyer commits, you need to know how the documents will be signed, who can provide access locally and whether the paperwork is complete. Agree who will represent you, handle payments and take responsibility for each step at the start of the sale.
Agree how documents will be signed before advertising
Start by asking the lawyer, solicitor or notary responsible for the transaction which acts can be completed remotely in your case. A power of attorney may be appropriate, and Portuguese authorities also provide distance services for certain registration and authentic acts, but availability, identity requirements and the exact powers needed must be confirmed for the intended transaction.
Do not sign a broad template merely because it is convenient. The document should identify the property and the authorised acts with enough precision, cover the CPCV and final transfer only where intended, and state whether the representative can receive money, agree amendments or appoint another person. A power prepared outside Portugal may need authentication, an apostille or legalisation and a certified translation; the receiving professional should confirm the form before it is signed.
Confirm every owner, NIF and authority to sell
The land register, civil identification and tax details should point to the same people. Marital property rules, inheritance, divorce, company ownership or several co-owners can change who must participate or be represented.
The parties need their Portuguese NIF details for the transaction records. If you live abroad, check that Autoridade Tributária has your current tax address and residence status, and whether your circumstances require a fiscal representative or electronic notifications. Resolve these questions separately from preparing the property advert.

Build a digital Property File
Keep your property documents together so you can share them securely when an offer arrives. Begin with the current permanent land-registry certificate and Caderneta Predial, then add the planning or use record, valid energy certificate and the technical housing file where applicable.
For an apartment, include the condominium administrator's declaration and the relevant information about charges or approved works. If there is a mortgage, request the bank's process and timing for a repayment statement and discharge. Alterations, a pool, an annex, inherited title or a company seller may require additional evidence.

Arrange access, photographs and viewings locally
Remote ownership creates a practical risk: keys, alarms, utilities and viewing availability may depend on several people. Appoint one accountable contact and record who can enter the property, how identity is checked, when feedback is delivered and what happens after each visit.
Use current, honest photographs and confirm the condition again before launch. A leak, occupied room or missing item discovered only at a viewing weakens trust. Do not publish a private address, alarm detail, identity document or unredacted legal record in the listing.
Allow for distance when agreeing the offer and CPCV
Put the full offer in writing: price, deposit, financing, included items, target dates, unresolved checks and the proposed completion route. Time-zone differences and slow document delivery should be reflected in realistic deadlines.
Before the CPCV is signed, the appointed legal professional should confirm the parties, their authority to sign, the property description, deposit account, conditions, consequences of default and completion arrangements. Never change payment instructions on the strength of an unverified email. Confirm bank details using a second trusted channel.
Plan mortgage repayment, completion and payments
If the property is mortgaged, selling it normally involves repaying the lender from the completion proceeds and coordinating the removal of the registered security. Ask early which original or electronic documents the bank will issue, how long they take and how the final amount is calculated for the intended date.
The seller should know who receives the purchase money, which deductions are authorised, how the net proceeds reach the seller and what proof will be retained. Currency conversion is a separate commercial decision. Compare the exchange rate and total transfer cost without allowing a currency provider to replace the legal and banking controls of the transaction.
Prepare the Portuguese tax file before completion
A gain on Portuguese real estate remains relevant to Portuguese tax even when the owner lives elsewhere. Residence status, acquisition date and value, documented acquisition and sale costs, eligible improvement expenditure and any relief must be assessed from the actual records.
Do not rely on an old article quoting one flat percentage for every non-resident. Portuguese rules and treaty consequences can depend on the year and the taxpayer. Ask a certified accountant or tax lawyer to prepare an estimate before accepting the price and to confirm the declaration obligations after completion.
